1. What data Polis.ge processes
When insurance is arranged on the website or through support: first name, last name, date of birth, sex, citizenship, passport details, telephone number, email address, information about the selected insurance, order and payment, and any other information necessary to arrange the selected type of insurance as specified in the relevant form or support request. When documents are provided: their images and the information they contain that is necessary to arrange insurance.
When contacting support: contact details, correspondence and information and documents provided by the user that are necessary to arrange and service insurance, process applications and answer questions.
When using the website: IP address, device and browser information, pages visited and actions on the website, referral source, advertising tags, cookie identifiers and similar technologies. The use of analytics and advertising tools is described in the Cookies and analytics section.
Mandatory information is necessary to place and service an order. When purchasing independently on the website, users need not upload a passport image if they enter the details manually. When arranging a policy for someone else, the user must be entitled to share that person's data and must make them aware of this Policy.
2. How data is used
Polis.ge uses data to review applications, arrange and service insurance, process payments and refunds, and respond to enquiries. If a user has submitted an application but has not completed the purchase, Polis.ge may contact them to clarify information and help with that application.
The grounds for this processing are steps taken at the user's request, entering into and performing a contract, and compliance with legal obligations. To ensure security, prevent fraud and protect rights, we may also use data on the basis of a legitimate interest, provided the user's rights do not override that interest.
With the user's consent, Polis.ge uses their name and contact details to send advertising messages about promotions and offers by email, SMS and messengers. Consent to advertising is not required to arrange insurance. Users may opt out of advertising messages free of charge at any time by writing to insurance@polis.ge or contacting Polis.ge support via Telegram or WhatsApp using the details on the website.
Data processing for advertising messages stops without undue delay and no later than seven working days after an opt-out request is received.
3. Sharing data with third parties
Data is shared to the extent necessary with:
- the insurer JSC Insurance Company GPI Holding, to arrange and service insurance;
- Bank of Georgia, to process payments and refunds;
- technical contractors, to operate the website and customer relationship management system and process applications;
- the analytics and advertising services Google Analytics, Yandex Metrica, Google Ads, Meta Pixel and Telegram Pixel, with the user's consent;
- Telegram or WhatsApp, when communicating through the respective service;
- competent authorities, in cases provided for by law.
Foreign services may process data outside Georgia. For such transfers, Polis.ge applies the personal data safeguards required by Georgian law.
4. Partner programmes
For participation in partner programmes, Polis.ge may record the link between a user who places an order and a programme participant using a personal link, code or other identifier.
To apply the programme terms, check the order status and calculate rewards, a programme participant's account may display limited information about each insurance policy in an order placed using their link, code or other identifier: the date and time of purchase, selected plan, policy term, start date, amount actually paid for the relevant policy, transaction status, and number of points or amount of another reward provided for by the programme.
This information is displayed without disclosing the ordering user's first or last name, citizenship, passport details, email address, telephone number, payment method, policy number, health information, insured events or medical documents.
5. Cookies and analytics
Necessary cookies and similar technologies enable the website to function, including recording a visit through a personal link to apply partner programme terms. With the user's consent, we use the analytics and advertising services listed in the Sharing data with third parties section to analyse visits and advertising effectiveness.
Users may decline analytics and advertising cookies without any restriction on purchasing a policy.
6. Data storage and protection
The retention period for personal data is determined by the purpose of processing, the period needed to arrange and service insurance, the need to handle enquiries and complaints, and mandatory document retention periods. Once there are no longer grounds for retention, data is deleted or anonymised.
Polis.ge applies technical and organisational safeguards and grants access to data only to employees and contractors who need it to perform their work.
7. User rights
Users may request information about processing and a copy of their data, correction of inaccuracies and, where provided for by law, deletion, blocking, cessation of processing or data portability.
Consent may be withdrawn. Withdrawal does not affect the lawfulness of processing before withdrawal or end retention that is necessary on another lawful basis.
To exercise their rights, users should use the contact details below. Polis.ge may request proof of identity where necessary. If personal data rights are violated, users may contact the State Audit Office of Georgia or apply to a court.
8. Limitation of liability
Users are responsible for the accuracy of the information they provide. Independent third parties are responsible for the data processing they carry out independently. Polis.ge is not responsible for the consequences of inaccurate data supplied by the user, the actions of such third parties or technical failures where those consequences do not result from a breach of Polis.ge's obligations and such a limitation is permitted by Georgian law.
9. Changes to this Policy
The current version of this Policy is published on polis.ge with the date of the last update and is available to the user whenever an application is submitted.
